Fleet tracking use cases, from a tagged breaker to a skip nobody can find

Some of the work we do in Malta does not sit under one industry heading. A beacon on a generator, a tag that says who drove, an alert at 23:14 when a machine that should be parked starts moving. Each section below covers one of those jobs, what it runs on, and where it stops.

Tool & equipment tracking

A breaker leaves the yard in one van on Monday and comes back in another on Thursday, and nobody wrote down either move. The gear worth tracking on a Maltese site is rarely the gear you can wire a tracker into: breakers, buckets, generators, tool boxes.

Put a Bluetooth beacon on each one. Any Yipii tracker passing within about 10 metres picks it up and logs it against the vehicle that saw it, with nothing for the driver to do. Yipii calls a tagged item like that a portable: an asset with no tracker of its own, located by whichever vehicle can currently see its beacon.

That is proximity, and we would rather say so now than on the day you go looking. A beacon has no SIM and no idea where it is. Leave a tagged generator on open ground with nothing tracked nearby and it reports nothing at all until a van comes back. What you get is which vehicle had the item and where that vehicle put it down, which answers the Monday morning question.

Rental firms use the same tags on the accessories that go out with a vehicle: baby seats, helmets, roof boxes. The tag says which car the seat left on and whether it came back on the same one. The cell lasts one to two years in daily use, Yipii reports its voltage, and you change it yourself. The rest of that job, distance per hire for the billing line and utilisation per car, sits on the car and van rental page.

Unpowered assets

Trailer, container & skip tracking

A tractor has ignition and permanent power, so it is straightforward to track. A trailer, a swap body, a cage or a skip has neither. It gets dropped at a yard on Thursday afternoon and becomes somebody's memory problem.

A beacon on the trailer is detected by a nearby tracker, so the trailer is visible when it is with a tracked vehicle and at the point it was dropped, not continuously while it sits alone in a yard. That answers who moved it and where it went, which is the question that actually costs money.

It also changes what you should expect from the health list. A trailer that moves twice a month reads as no movement and not used for most of the year. That is the correct answer rather than an alarm, and treating it as one is how people end up ignoring the whole list.

Waste contractors and council services put the same tags on skips, containers and wheelie bins, with the collection round drawn as a zone on the map. If that is the operation rather than the occasional trailer, the waste and municipal services page is written for it.

Battery-powered trackers that need nothing from a vehicle are in the range now. We are not putting a model, a battery life or a price on this page until those are settled, so if a skip or a bin has to report on its own, ask us and we will give you the current spec.

Driver ID & auto-assignment

Two vans and three people, and everything Yipii measures belongs to the registration plate. The trip, the harsh braking on the Marsa roundabout and the score out of 100 all sit on the van, so a van shared by three drivers produces one score covering all three.

A tag moves that record onto the person. An iButton is a coin-sized metal tag on a keyring, touched to a reader wired to the tracker at the start of a shift. It has no battery and nothing to charge, and it takes a deliberate action, which is exactly why some fleets prefer it. A Bluetooth beacon does the same job with no action at all, because the tracker picks it up passively within about 10 metres. That is what makes it work where people swap vans mid-shift. Two tags in one cab and the stronger signal wins, so spares belong out of the vehicle.

After that there is no admin. Nobody logs in and nobody picks a name from a list. The trip and the score land on whoever the tag is assigned to from the moment a tracker sees it, and driver scoring and the behaviour reports follow on their own. One thing to check before you go hunting for a fault: a tag that is registered but assigned to nobody reads as orphaned and identifies no one.

Until a vehicle has a reader or a beacon fitted, its score stays on the registration. Fitting is per vehicle, so start with the vans that are genuinely shared and leave the ones with a single named driver alone.

Authorisation

Vehicle access control & immobilisation

Driver ID answers who was driving. Access control decides who is allowed to. The engine stays interlocked until an authorised credential is presented, so a van in the yard does not move just because somebody is holding a key.

The credential is an RFID card, read by an RFID reader wired to the tracker, or an iButton or tag on a keyring. Which credentials count as authorised is set up per fleet, and we work that out with you at fitting.

This is the one capability on the page we have not written up in our docs yet, so it is described here and no further. No model numbers, no wiring diagram, no claims about how it behaves on a vehicle we have not seen. Ask us and we will go through the fitting on your own van or your own plant instead.

Out of hours

Theft recovery & unauthorised movement

At 19:30 everything is parked and an Unauthorised Movement alert is armed on the site assets for the hours nobody should be working. At 23:14 the excavator's ignition comes on. It is outside the window, so Yipii sends an SMS and a WhatsApp message straight away, with the live position and a share link the responding manager opens without logging in.

The alert conditions that do this carry their own names in the product: Unauthorised Movement, Untimely Movement, Power Cut, Tow Detection and Signal Jamming. A tracker losing power is either a fault or somebody cutting it, and the alert reads the same either way. Quiet hours are what keeps the list usable, because a depot that alerts every morning as the fleet legitimately leaves is noise, and noise gets muted.

Recipients are set per alert, so whoever gets woken at 23:00 by a movement alert does not have to be the person reading the daily summary.

Two things to be straight about. An alert is a notification rather than a ticket: there is no acknowledge button and no acknowledged status, so who responds is a conversation you have off the platform. And the 23:14 alert above runs on ignition, which needs a hardwired install and a site geofence drawn first. A beacon on the machine will not do it.

Evidence

Proof of service & site hours

A client queries an invoice for eight hours of plant time. You have a timesheet, they have a doubt, and there is nothing else in the room.

A geofence around the site turns that into a record. Every visit carries an arrival time, a departure time, how long the vehicle stayed and the position it was at, and the point visits report lists every site visited with the travel time between them. Export it to PDF or Excel and attach it to the invoice. One report covers up to 31 days, and it can arrive by email on a schedule instead of waiting for somebody to remember.

Positions are recorded whether or not a zone existed at the time, so you can draw a geofence after the fact and the past visits appear against it. That is the one that settles arguments about last month.

There is no dwell-time alert, so nothing messages you when a van has been somewhere for 40 minutes. Time on site is a report you pull rather than an alarm that fires. Size the zone at 100 to 250 metres for a yard or a gate, because a circle drawn tight around a parking bay will flip a parked van in and out all afternoon as the fix drifts.

Duty of care

Lone worker safety

If you send somebody to a plant room in Marsa or a call in Gozo on their own, the duty of care sits with you as the employer. What Yipii gives you towards it is the position of the vehicle they took on the live map, the tagged equipment that went with them, and an alert when something moves outside the hours you set.

Be clear about what that is. Yipii tracks vehicles and tagged assets, not people. There is no certified personal safety device in our range, no panic button and no man-down detection. If your risk assessment calls for one of those, it is a dedicated device you need, and we will tell you so rather than sell you around it.

Where this does hold up is the ordinary part of the duty: knowing which van is at which site, what time it arrived, and being told when it moves at an hour nobody should be working. Tell your people in writing what is tracked and why before you switch it on.
